Move the mail in an existing mailbox across to your new O’Brien Media mailbox with a guided IMAP sync in Client Connect, and follow its progress.
In this article
If you are moving your email to us from another provider, Email migration in Client Connect copies the mail from your old mailbox into your new O’Brien Media mailbox, so you do not start with an empty inbox. It uses a guided IMAP sync, and you can follow each job’s progress as it runs.
Before you start
- Your new O’Brien Media mailbox needs to exist first. If it does not, ask us to create it.
- You need the email address and password for your current mailbox. For some providers, such as Microsoft 365 and Gmail or Google Workspace, you may need to create an app password and use that instead of your normal password.
- Do not change your domain’s email settings (MX records) until the move is finished, unless we have agreed the order of things with you.
Starting a migration
- Sign in to connect.obrienmedia.uk.
- Open Tools in the menu, then Email Migration.
- Under Create a Migration, choose your current email provider from the list, such as Gmail, Microsoft 365, Outlook.com, Yahoo, BT or Virgin Media. This fills in the incoming mail (IMAP) server details for you. If your provider is not listed, you can type the details in yourself.
- Under Source mailbox, enter the login details of your current mailbox.
- Under Destination mailbox (O’Brien Media), enter the details of your new mailbox with us.
- Choose Start migration. Choose Reset to clear the form and start again.

Login details are encrypted and not displayed after you enter them.
Following progress
Each migration appears under My Migrations, where you can follow its progress as it runs. A mailbox with a lot of mail can take a while, and it is fine to close the page and come back later.
Good to know
- A sync of this kind copies mail rather than moving it, so your old mail normally stays where it is until you choose to close that account.
- You can run a migration more than once, for example to pick up mail that arrived after the first copy.
- Once your mail has moved, remember to set up your devices with your new mailbox. Our DNS lookup can check where your domain’s email is pointed.
- There is a Help & Support section on the migration page, and we are always happy to talk it through or do it with you.
